Food-truck event profit calculator: is the booking worth it?

Estimate the orders needed to cover an event’s costs, including your time. Compare expected sales with a low-turnout scenario and the most orders you can serve.

Starting values are illustrative only, not typical fees or a sales forecast. Use your menu mix, organizer agreement, staffing plan and tested serving capacity. Attendance is not the same as orders for your truck.

How to enter fees, labor and food costs

Use the average total order, not a single menu item’s price. Include all preparation, service and cleanup labor. Include owner time once. Other costs can cover permits, event-specific insurance, commissary use, power and equipment allocation.

Both percentages apply to the sales value entered here. For mixed cash/card payments, enter effective processing costs averaged across all orders. If your organizer charges a minimum, a fee instead of commission, or uses a different sales base, adapt the inputs to the agreement; the calculator adds the flat fee and commission together.

Food and packaging are charged per order sold. Put additional unsold preparation or spoilage in the separate waste field. That waste amount stays fixed across scenarios: increase it for a poor-turnout case if more prepared food would be lost. Do not enter your entire food purchase as waste as well as charging it per sold order.

How is food-truck event profit calculated?

Worked example: With $1,000 in fixed event costs and $7.65 left from each $15 order after food, packaging, commission and processing fees, you need 131 orders to break even. At 200 orders, profit is $530; at 100 orders, the loss is $235. These are the calculator’s illustrative starting values, not industry averages.

The math: contribution per order = order value − food/packaging − commission − processing costs. When contribution is positive, break-even orders = fixed costs ÷ contribution, rounded up to a whole order. Profit = orders × contribution − fixed costs. Zero fixed costs can break even at zero orders even if additional sales lose money.
