Plan your monthly cash

These starting figures are invented examples, not industry averages or recommended budgets. Replace every month with your own plan, including winter services if you offer them.

Plan one January–December cycle. Enter cash when it reaches or leaves your account, not when you invoice a customer. Shift late-paying contracts into the collection month. Use dollars in every field.

What belongs in each monthly budget?

Payroll includes employee wages, employer taxes and benefits. Equipment / vehicle includes purchases paid in cash, fuel, repairs, rentals and full loan payments. Other outflows includes materials, insurance, rent, software, marketing, tax payments and any remaining cash bills. Owner draws are the cash you take out personally. Count each expense only once; do not also include owner draws in payroll. Do not include depreciation, which is not a cash payment.

If cash collected includes sales tax or customer deposits, include the related remittances and fulfillment spending when due. Starting cash should exclude money unavailable for operations. This simple plan has no separate borrowing or investor-funding row; the additional-cash result shows an unmet funding need, not approved financing.

How the reserve is calculated: monthly net cash = collected − all entered outflows. Closing cash = starting cash + cumulative net cash. Required starting cash = your cushion plus the largest cumulative cash deficit across the year. Additional cash needed subtracts your existing starting balance, with a minimum of zero.

This is a month-end cash plan, not accounting profit. A positive month-end balance can still hide a payroll or bill-payment shortfall earlier in the month; check weekly timing before committing cash. Future years, unentered bills and changes in revenue or costs are not modeled.
